The right Power BI visual depends on the question. Use a line chart for change over time, a bar or column chart for comparison, a table when exact values matter, and a card for one carefully defined headline measure. A visual is successful when the reader can reach the intended conclusion without guessing.
No visual can rescue an unclear measure or a weak model.
Start with the question
Write the question above the report canvas before choosing a chart:
- How has this changed? Use a line chart with a meaningful time axis.
- Which item is larger? Use a sorted bar or column chart.
- How does a total build up? A waterfall can show positive and negative contributions.
- Where does a process lose volume? A funnel may help if the stages are genuinely sequential.
- What is the exact record? Use a table or matrix.
- Is one metric inside its target? Use a card or KPI with clear context.
Pie and donut charts are not forbidden, but comparison becomes difficult as slices multiply or values are similar. Use them only when part-to-whole is the real question and the categories remain limited.
Test interactions explicitly
Power BI visuals normally cross-filter or cross-highlight other visuals on the page. Select each visual and watch what happens elsewhere. In Power BI Desktop, use Format > Edit interactions when the default behaviour creates a misleading or confusing response.
Test:
- whether a selection filters or highlights
- whether totals still mean what the label says
- whether drill actions affect other visuals as intended
- whether slicers have an obvious reset route
Editors need the required report permissions to change interactions in the service.
Make the report usable without colour guessing
Use a descriptive title, sufficient contrast and alt text. Do not use red and green as the only distinction. Check tab order and keyboard navigation. Place important content in a logical reading sequence.
Microsoft provides accessibility guidance and a built-in high-contrast testing route. Accessibility is not an optional polish stage after the dashboard is finished.
Keep the page quiet
Every extra visual adds another query and another interpretation task. Remove anything that does not change a decision. Keep scales consistent where readers compare charts, and avoid truncating labels until categories become ambiguous.
Use Performance Analyzer in Power BI Desktop to identify which visuals take time to load. A slow page can be caused by measures, model design, source latency or visual complexity. The tool shows evidence for the page; it does not by itself diagnose the root cause.
A five-minute review
- Ask somebody to explain the page without your narration.
- Select every slicer and chart once.
- Check totals after filtering.
- Navigate with the keyboard.
- Inspect the page with Performance Analyzer.
- Remove one visual and see whether the decision becomes clearer.
