You can make learning content easy to reach from Microsoft Teams, but Teams itself is not a complete learning management system. Use Viva Learning or SharePoint for discovery and internal content. Use a purpose-built LMS when you need assessed completion, certification, regulated records or complex enrolment.
The important decision is which evidence the organisation must retain, not which interface looks most like Teams.
Separate the five jobs
People often use "LMS" to describe several different needs:
- Publishing guidance or videos.
- Helping employees discover relevant content.
- Assigning content to a defined audience.
- Assessing completion or competence.
- Producing auditable records for managers or regulators.
Teams, SharePoint, Viva Learning and third-party systems cover different parts of that list. Write the required evidence beside each job before choosing a product.
Option 1: Viva Learning in Teams
Microsoft describes Viva Learning as a central learning hub in Teams. Users can discover, share, recommend and access learning content, subject to the content source and licence.
Viva Learning can surface content from Microsoft and configured providers. Microsoft also documents SharePoint as an organisational content source. The SharePoint setup has prerequisites, supported content rules and permissions that need administrator involvement.
Choose this route when the primary problem is discovery inside the flow of work. Check the current Viva Learning service description and setup guidance for the features and licences in your tenant. Do not infer premium provider access from the presence of the Viva Learning app.
Option 2: SharePoint content surfaced in Teams
A SharePoint page, list or document library can be added as a Teams channel tab. This works well for curated guidance, procedures, event material and lightweight knowledge collections.
The permissions do not magically become the team's permissions. Microsoft Support says users without access to a tabbed SharePoint page will be shown a request-access experience. Site owners should test with an ordinary learner account, not only an administrator account.
SharePoint can store documents, metadata and version history. It is not automatically an assessment engine or a defensible completion register.
Option 3: A separate LMS linked or embedded in Teams
A third-party LMS may be the right answer when it already provides enrolment, assessment, certificates, reporting and records. Teams can provide a link or, where the product supports it, a Teams app or tab.
Embedding a website does not create single sign-on. Teams tabs are web pages running in an iframe, and the domains must be declared in the Teams app package. Microsoft documents a specific Entra ID and Teams app flow for tab single sign-on. A vendor must implement and support that flow, or provide another supported authentication route.
Before buying or building, verify:
- Microsoft Entra ID integration and account lifecycle
- assignment and enrolment rules
- assessment and retake behaviour
- reporting and export format
- retention and deletion
- accessibility
- mobile and browser support
- service ownership, backup and recovery
- licensing for every learner and administrator

This is a shortlist, not a procurement decision. Security, licensing and compliance depend on the selected services and tenant.
A safe pilot
- Pick one audience and one real learning need.
- Write the completion evidence required.
- Choose the smallest platform that can produce it.
- Configure identity and permissions.
- Test as learner, manager and support owner.
- Test access removal and a failed sign-in.
- Export the evidence and ask its consumer whether it is usable.
If the pilot needs manual corrections, record who performs them and how often. A manual exception is acceptable when it is visible. It becomes dangerous when a dashboard silently looks complete.
Proof boundary
This comparison can narrow the architecture. It does not prove that a particular LMS, Viva Learning plan or Teams integration meets your organisation's licensing, accessibility, security or regulatory requirements.
