How to Find Important Microsoft Teams Messages: Search, Filters and Saved Items

Find Microsoft Teams messages with search, Ctrl+F, Quick views, filters, unread markers and mobile saved items without relying on retired desktop instructions.

Do not rely on an old Saved menu in Microsoft Teams desktop. The dependable ways to recover a message are current search, location search, Quick views, chat and channel filters, and Mark as unread.

Microsoft’s current mobile support still documents Save this message, but desktop guidance centres on search and unread handling. Treat saved-item behaviour as client-specific.

Choose the right way to find the message

Search all Teams messages on desktop or web

  1. Enter a keyword or person’s name in the search box.
  2. Select Messages.
  3. Press Enter or choose View all messages for the full result view.
  4. Narrow the results by Type, team or channel, From, Date, mentions, attachments or app messages where those filters appear.

Use quotation marks for an exact phrase. Microsoft also documents search modifiers such as From:, In:, Subject: and Sent:.

Search inside one chat or channel

Open the conversation and press Ctrl+F on Windows or Cmd+F on macOS. Enter the phrase, then select a result to jump to the original message.

This avoids searching every conversation when you already know where the message lived.

In a channel, you can also open channel details and select Find in channel.

Use filters and Quick views

The current chat and channels experience can be combined or separated. It includes filters such as:

  • unread messages;
  • chats;
  • channels; and
  • meeting chats.

Quick views can surface mentions and followed threads. If the layout differs, open the list options and check whether your organisation uses a combined or separate view.

Mark a message as unread

For a lightweight reminder, open the message’s More options menu and select Mark as unread. This moves the unread boundary. It does not create a task, due date or ownership record.

On mobile, press and hold a chat message. Microsoft currently documents both Save this message and Mark as unread. If Save this message is missing, use unread plus search rather than following an old desktop tutorial.

When a chat message should become a record

Search helps you recover conversation. It does not turn chat into a controlled knowledge base.

For approvals, decisions or work with a retention requirement, record the outcome in the system that owns the work. That might be a SharePoint list, Planner task, service desk ticket or controlled document. Add a link back to the Teams discussion if the context matters.

Troubleshooting

If search cannot find a message:

  • confirm you still have access to the chat, channel or team;
  • reduce the query to a distinctive word;
  • search the known location with Ctrl+F or Cmd+F;
  • remove restrictive date or sender filters;
  • try the desktop or web client if mobile offers fewer filters; and
  • ask an administrator about retention or access changes rather than assuming the message is permanently recoverable.
